Create A Detailed Floor Plan :

This is the first and foremost to-do to undertake in terms of safety management at the event space. Make sure that the floor plan you create is down to complete precision with all the details. For instance, the stage should not cover the exit doors. So, leave enough room for the crew and the participants to move around freely both backstage as well as around the exit areas. Also, it’s important to label the exit doors clearly. Once you create the floor plan, ensure that all the crew is familiar with the plan, the doorways, walkways as well as the usual & emergency exits very well.

Prep Before The Event :

Before the event, scan the venue and walk through the venue with the personnel and staff responsible for the safety. Use your floor plan and safety checklist to make sure everything is in order. A documented safety check will help you understand what are the probable scenarios for which you would need to undertake measures.
For example, if it’s an outdoor event, you would need to check for possible bad weather conditions and keep the necessary tools ready while if its an indoor one, you should ensure the hall is secure in terms of checks. Entrance Safety :

Ensure there are metal detectors at the entrance that scans the guests as well as their belongings carefully before they enter the venue. The event staff should familiarise themselves with the guest list and only allow persons who are on the guestlist with a valid ID. It will also help to monitor the registration line to ensure that whilst the process of registration all the guests are calmly standing in line and that the whole process is smoothly carried out.

Tight Communication :
